The first step to interpreting these special wishes is to set up a clear line of communication. We find the most convenient way of doing so is via e-mail or Skype if you are not able to meet for a cup of coffee for a thorough consultation. Firstly as independent Wedding Planners our clients benefit from personal planning with the coordinator where each wedding is individual and tailored to the couples dream day and whether the ceremony is for the couple alone or for a large wedding of 100+ we give all our clients the same personal service. From the first contact through to our co ordination on the day, you are our main priority in getting everything right and taking the stress away from what can be a complicated process of organizing a wedding abroad. Our experience and contacts in the industry allow us to pass back to our clients the preferential supplier rates that we negotiate on your behalf and our knowledge of South Africa allows us to offer the very best locations and venues.

Overview of Services

We will ensure that the planning and execution is a stress free experience handled on a personal basis. Each quote is subject to the size and complexity of the wedding.

The Venue

Using our extensive knowledge of venues throughout South Africa we will find the perfect location for your wedding whether it be a grand ballroom, a winelands estate, a rustic seaside venue or a bohemian tent.

The Suppliers

We source all the necessary suppliers for your wedding from florists and stationers to photographers and entertainers. For each area of your event, we produce a detailed shortlist of thoroughly vetted professionals complete with references and fees enabling you to make an informed decision.

The Management

We take care of all your wedding administration; arranging appointments, attending meetings, ordering samples and handling all wedding related paperwork, phone calls and emails. We manage your budget, track all payments, develop a wedding day schedule and liaise with all your suppliers to ensure they are clear regarding the day’s arrangements. Throughout the planning process, we are always on hand to give you the benefit of our expert knowledge and experience.

The Design

We work with you to identify a design theme that is personal and unique to you and your celebration. We produce colour schemes and design boards, search for the perfect accessories and if necessary decorate your venue; hanging decorations, scattering petals, tying ribbons and putting all the finishing touches in place.

The Day

When the day itself arrives we are on hand to manage your event, ensuring everything goes without a hitch, decorating your venue and acting as a point of contact for your guests and suppliers.

The Wedding Abroad’s coordination fee is set from selections of (and not limited to) the following services.

Full Wedding Coordination

Pre-Wedding Coordination

Assistance and advice with the selection of the venue for the ceremony and the reception.
Assistance in selecting accommodation for the bridal Couple – and/or their guests.
Liaison between the bridal Couple and professional service providers.
Assistance with the selection of the following service providers: Stationery consultants and designers, The Marriage Officer, Florists and décor consultants, Entertainment and music, Renowned chef(s) and caterers, Photographers / Video coverage, Make-up artists and hair stylists, Aroma therapists, Transport options, Catering and bar-service specialists, Propose Honeymoon trips and RSVP coordination.
Obtain quotations from high profile, professional, yet reasonably priced service providers.
Menu compilation and selection of suitable wines, specifying brands, cultivars and vintages.
Compiling an action list to ensure that deadlines specified by both parties are adhered to.
Preparing a comprehensive timing schedule/program for the day of the wedding.
Meeting with and providing guidance to the master of ceremonies prior to the wedding.
Organizing and perfecting any pre-wedding function(s).
Post-wedding feedback meeting to wrap up the event.

Weddings don’t just happen, they are planned. This package is for the couple that has organised the wedding themselves but would like assistance in the weeks running up to the wedding. Here we will assist you in the final 3 weeks of your wedding by ensuring:

All suppliers have been booked and are aware of the details of your wedding.
A timing schedule has been set up and distributed to all relevant persons involved in the wedding day.
A wedding coordinator is there on the day to assist in the decor setting up, during the course of the evening and for the clear up the following day.
You have every aspect of your wedding day covered and if not, we are able to assist in sourcing additional suppliers if require.

Just the Planning

Wedding Day Coordination Only

We have couples who, wish to plan their wedding day themselves; however, wish to avoid the last minute stress on the day of their wedding. Our Wedding Day co ordination package is designed to ensure the couple is at ease in the final run up to their wedding day. We will be on hand prior to the wedding day to contact all suppliers to ensure they are aware of their function on the day as well as draw up a timing schedule for each supplier, venue coordinator as well as the Master of ceremonies, thus ensuring a smooth celebration! We assist in setting up the decor on the day to ensure that it is as you imagined and will be there until all formalities have ended , leaving you to party the night away. What is most important to us is that you make this day yours. The creation of the day is about celebrating your relationship.

For overseas bridal couples we keep in touch regularly via email and phone. In this way every request is acknowledged and completed to the couples satisfaction. We form a close relationship through this contact which adds to the personal attention and feeling of security for our clients. Getting married is huge event in a couple’s life so you want to have everything just right. That’s why you have a wedding coordinator take care of aspects of the planning. And we assure you that we will have our i’s dotted and t’s crossed for your Big Day. We’ve done this before and do it well. Early on in the process we will put the “big pieces” in place and the closer we get to your wedding the more of our team’s time and energy will be devoted to the finer details. Our suppliers and service providers give their attention to each wedding in turn so it is not always possible to sort things so long in advance as some eager couples may like.
